Which vehicles do we use?
Depending on volume: a passenger car for documents or prototypes. A van for medium-sized stands. A box truck for large displays, tent packages or multi-stand loads. For very large volumes, a multi-partner solution.
Liability and confidentiality
Under carrier liability. For valuable demo equipment, a higher liability limit is available on request. For fragile displays and banners we work with extra packaging and a low-vibration driving style.

Frequently asked questions
Can you arrange a time slot at RAI or Jaarbeurs?
Yes. Large halls use a logistics system in which vehicles reserve a slot. We arrange this for you in consultation with the fair logistics team. A pre-booked slot is often better than an urgent arrival — less waiting time.
How quickly can you do a last-minute urgent run to the RAI?
From our service area, typically around within 60 min to RAI Amsterdam. From elsewhere in the Randstad around within 60 min. For stand opening-day urgencies we are often checking in within the hour after your call.
Do you also drive to festivals?
Yes. For large festivals (Lowlands, Mysteryland, Awakenings) and regional events we transport promotional material, tent packages and technical equipment. Access via the service entrance with a pre-registered courier.
What about early-morning build-up?
Many fair build-ups start early (06:00-07:00). We drive overnight to be on time; the night surcharge (+15%) is standard and is often actually cheaper than a full daytime urgent rate.
Can you do several stands in one run?
Yes. If you are fitting out several stands at the same fair (or several exhibitors are attending the same fair), we combine runs. The per-stand price drops considerably.
What if the security check is a problem?
Fair security usually carries out a vehicle check on arrival. We hold the stand-builder pass or exhibitor pass in advance; the courier ID is shared beforehand. Normally no problem. For state-secured events (Cabinet, EU summit): a separate procedure applies.
What does trade fair transport cost?
Fixed price upfront by passenger car to RAI/Jaarbeurs. Van €125-€175. Box truck €245+. For night build-up +15%. Contract clients (stand-building agencies) receive tiered discounts for a fixed fair calendar.
